Assembly Processing with Project System

An assembly Processing is the process in which Product or service is assembled on behalf of sales order. Raw materials are planned for this assembly. Receipt of the order initiates assembly of the customized product. This business process is called assembly processing.
Settings and Process Sequence for Make to Order 

Master Data required
1. Create a Standard WBS-
Tcode-CJ91
      For SD and PS integration you have to check SD/PS Assignment in Control Tab.
If there are two line items (referring to two networks) in a sales order no: 1563
with No SD/PS assignment - Project number generated will be T-1563
With SD/PS assignment ticked - there will two numbers generated T-1563-10, T-1563-20 for two line items (referring to two networks).
Only one root indicator is not set in the project profile to avoid any errors.

Assignment of Standard Milestone to Respective WBS/Network

Select the WBS item to which you want to attach Milestone than select WBS Element> Milestone Overview
Note: You require Standard Milestone to assign to WBS or Network Activity.

Creation of Standard Milestone:
Tcode: CN11
Here you have to enter Description and Usage of Milestone and Select Sales Document Date (Which is used for Billing Milestone)

2. Create a Standard Network
Tcode: CN01

3. Finished Product that is required to manufacture through assembly process.
Tcode: MM01
You have to select Industry type and Material Type which you want to produce. Than this will configure material according to sales area/ plant.

4. in T.code CN08 define the relation between Materail/Std WBS/Std Network/Network Type/Network Profile.
This assignment is very important for assembly processing because when you use material to be produce in sales order, base on that material a project is to be created with using this assignment. Otherwise this will gives pop up window to assign Std WBS and Std. network. End-user may select different WBS and Network. So to avoid this error we have to assign material to Std WBS & Std. network.



Settings required In SD Module

1. Define Requirement class with Network type as PS01 or PS04 and with account assignment cat as Q project make to order iif you want all operational as well as materials cost to be accounted at project level with assembly option as 2.
Tcode: OVZG (Requirement Class)
Assembly Type as 2 (Production order, network or service (static processing))

Order Type as PS04 (Networks for sales order)

Account Assignment as Q (Project make to Order).
Now we have to check Strategy Group as 85 (Assembly processing with Network/project)



Tcode: OPPT
Now check Strategy group assigned to Requirement type



Tcode: OPPS
in this Strategy please check Requirement type should be assigned as KMPN.


2. define the requirement type and assign the requirement class to requirement typw.
Tcode: OVZH
Note: standard settings available in SAP or we can define by our own also.



Check Requirement Class



Tcode: OVZG


3. Create a separate sales document type if required.
Tcode: VOV8
To maintain Item Category
Configuration Settings - Item Category 
If System not able to find the Requirement class based on the above two strategies it will tries to find out based on Item Category.

From Item category group maintained in the material master and sales document type entered in the sales order system determines item category.

Settings in PS
1. In PS if you want all the operational cost also to be accounted for at project level from planning onwards then set in t.code OPSV "order level updating" ensure check box for 10 and 20.

Settings in PP

I. Create BOM in T>code CS01
2. Creating Routing for the production operations

Tcode: CA01
Configuration Settings - MRP Group 
If System not able to find the Requirement class based on the above strategy it will tries to find out based on MRP Group.
If planning strategy is not maintained in the material master, system picks the same from MRP group, in the MRP group we have planning strategy and the above cycle is repeated to get the requirement class.
Tcode: OPPU


Note: For routing we need work center and activity types defined already. Cost for activity type in KP26. Not these activity costs related cost elements should be part of product costing for cost to flow in all reports as to know the cost of finished product.

Settings in MM

In material master in MRP view we need to set the MRP Group and strategy group relevant for assembly process. As Strategy will have requirement type.
Tcode: MM01
Item category group is important for selecting the item category in the sales order.
Strategy Group as 85 & MRP As PD (MRP)


1. Create a Inquiry in VA11
2. Create Quotation in VA21 with reference to Inquiry
3. Create a Sales order in VA01, while creating sales order, as soon as we assign the material component in SD line item a pop will come for entering std WBS, std Network, network profile. once we enter this at bottom we can see that scheduling is carried out. Note: if we define material/std WBS/std Network in CN08 then pop will not come. Now check for errors and save the sales order, at bottom we can see that project order is created. Note: Project number is same as sales order no:
4. in Billing plan tab at item level we can see the milestones for new project.
5. In Sales order we can see that billing lock is set against the milestones.
6. Now open the project in Cj20n and go to network we can see sales order no with line item no.
7. Now verify the mile stones in the project.
8 .check the requirement list in MD04 against the Finished product we can see that requirement is generated against project With respect to sales order.
9. Run MRP in MDBT/MD02/MD01, based on procurement type in MM , PR's and Planned order will generated. Note: ALL PR's and Planned Orders are account assigned to WBS.
10. Now do Pr-->PO-->GR>(ALL all accounted against project.
11. Convert Planned order to Production order--> release the order--> Goods issues against production order.
12. Confirm the Production order with respect routing operation one by one in CO11N.
13. in cost element reports at projects we can see the cost breakup for all production activities as well as for material.
14. Settle the production order.
15. conform all activities in Project.
16. Do billing in SD as when when mile stone reaches to post actual revenues.
17. run RA in KKA2 and save the RA results
18. Run settlement in CJ88
19. Set the status of Project as TECO and CLSD.

Difference Between Implementation, Support, Upgrade, Rollout in SAP

1. Implementation
Customer wants to install SAP which Includes different modules of SAP like MM/SD/FI/CO/PP etc. This is implementation project. Here one needs to integrate several modules, migrate data from Legacy system to SAP system. Need to prepare interfaces/RFC's to interact with 3rd party systems. In this we can define a specific Business process of an Organization.

2. Support
In Support any Customer has already installed SAP & now he wants to give the work of maintaining those systems. This is support project.

3. Upgrade
Upgrade is that in which any Customer has SAP Version 4.6b and wants to update his version i.e. Version 4.7. This is upgrade project

4. Rollouts
In Rollout project we can't implement any full or define any Business process. This includes when a Customer has Installed/upgraded his version & wants to rollout country specific changes.
This is rollout project. for example: we have implemented a project for a single plant specific and want to extend this to another plant specific.

Create Vendor Master Data (XK01)

Create Vendor Master Data (XK01)

Purpose: - Method to create Vendor master data.

Prerequisites: - Information provided by vendor via the Vendor Registration Application (either online or paper). Accounts Payable Related Defaults

Menu Path: - Select Logistics> Materials Management> Purchasing> Master Data> Vendor > Central> Create Vendor.

Transaction Code: - XK01

Helpful Hints:-Purchasing vendor numbers are internally assigned and XKN1 is the TCODE for this

Procedure:-

1.       Start the transaction using the menu path or transaction code.


2.        As above screen we have to enter some required fields like:

Vendor No, Company Code, Purchasing Organization, & Account Group. In reference we can give vendor no which already exists in master data as reference.

3.       Click ok.


4.       In this step we have to enter Address and some of the required fields as per business process.

This is continuing as previous screen after scrolling down.

5.       We have to enter Email ID of the Sales representative but this is optional entry.

6.       Click Next Screen.


7.       As required, Please fill required fields and optional fields as u wish. 

8.       Click Next.

Do not enter information on this screen. A/P will enter information during the invoice process if needed. A/P uses the Permitted payee button to associate remit-to address records.

9.       Click Next.


10.     Click Next.


11.     As required, Please fill the fields: Recon. Account, Sort Key, Withholding Tax, Recipient Type as these are required for Accounting purpose. 

12.     Click Next.


13.     As required, fill Payment Terms, Credit memo, Tolerance group etc. 

14.     Select  Tick in chk double inv.

15.     Fill the following fields: Payment Methods, House Bank, etc. 

16.     Click Next.


17.     Please fill fields like Currency, terms of payment etc as in screen. 

18.     Select Environment-> Classification to go to the Create Vendor: Classification screen.


19.     you have to fill class of vendor: Element of classification system used to organize objects; Objects of the same class share similar attributes. Programs, reports, organizational structures, etc. can be assigned to classes. 

20.     Click ok.


21.     In the right of Material Group Please Click in value field.

22.     press F4 to go to the Material Group window.


23.     Click on left side of the appropriate Material Group.

24.     Click ok.


25.     Click ok.


26.     Click in the Value field to the right of Disadvantaged Business.

27.     Click  F4 to explore the options for business enterprise.


28.     Select to the left of the Disadvantaged Business Enterprise (DBE) code.

29.     Click ok.


30.     Click ok.


31.     Click back.


32.     Click Save.



The system displays the message at below, "Vendor XXXX has been created for company code XX purchasing organization XX."

33.     Click back until you return to the SAP Easy Access screen.

34.     You have completed this transaction.

Result: - You have created a vendor master data for business.

Create Material Master Record (MM01)

Steps to Create Material Master Record (MM01)

Purpose: - Use this procedure to manually create a Material Master Record for any business segment.

Requirement: - Material type, Industry Sector

Menu Path: - Logistics > Materials Management > Material Master > Material > Create (General) > MM01 immidiately.

Transaction Code: - MM01

Note: - In this release we are taking as SAP Standard. We can change fields as we requires. Master Records consist of the basic information on the Business Contract.


Steps to Create Material
1.       Execute the transaction using the menu path or transaction code.



2.            You have to fill all required fields and you will find some optional fields also:

Material (Required): - item that can be used for purchasing or sales for commercial use, or may be used, consumed, etc; this may be a service; Also, a number identifying a material master data. If we want to maintain our self or can be created by the system

Industry sector (Required): - This is type of industry in which we can use this material.

Material Type (Required): - This is field that assigns the material to a group of materials like raw materials, finished products, or Semi Finished etc.

Material (Copy from an existing material master record Optional): - If we want to create material just same as we have in material master data so this is used for coping that material and their features to new material to be created.

3.
       Click ok.


4.       Click Select all or you can select according to your requirements.

       Click ok.


6.                 Fill the plant which is required:

Plant (Required field): - plant is the manufacturing unit where this material is produced.

7.
       Click ok.

8.       Fill the fields as required and optional:

Material: - Enter Description for the material like name and use.

Base Unit of Measure: - Unit of measure is just for managing that material in stock. It can be of many types like EA for Each, KG (Kilo Grams)

Material Group: - this is the group of material with same features. Like pipe.

Languages Maintained: - Languages can be maintained in system

9.
       Click ok and go to Purchasing Tab.


10.       As required, complete the following fields:

Purchasing Group: - This is used for identifying Purchaser or group of purchaser.

Purchasing value key: - Key defining intervals of reminders used to notify the vendor for not sending the material on-time.

Purchasing value key determines the following things:


1) Reminders keys- There are 3 keys which determine in how many days before or after the vendor has to be reminded or urging letters for the material procurement.


2) Deliveries tolerances.


3) Whether
PO requires acknowledgment or not.

11.     Click ok.



The system displays the message, "Check the data for the purchasing value key."

12.
     Click ok or just press enter.


13.     As required, complete the following field:

Purchase order text: - Enter text for a material which will appear on a business Contract Release Order

14.
     Click Save.

At last you can get message like, "Material XXXX created."

15.
     Click back until you return to the SAP Easy Access screen.

16.
     Now you have created a new material for business.

In this TCODE we are able to maintain accounting and other data also. For this we have to select these fields at step no 3.
Result: - You have created a Material. This is called as material Master Data/Record.

Mass Change (CNMASS)


Steps to Mass Change (CNMASS)

Purpose: - If you want to change a large amount of master data simultaneously than this is recommended.

Requirement:- Master data must be in the system.

Menu Path: - Accounting >Project System >Basic Data >Tools >Mass Change >Mass Changes in the Project System screen.

Transaction Code: - CNMASS

Note: In this transaction we don’t have any undo function. Save the log that displays the changes to the master data for future reference in case the mass change has to be reversed.

Procedure:

1. Start the transaction using the menu path or transaction code.

Enter profile




2. Enter Database Profile and Click ok.



3. Click Dynamic Selections (Button after execute).



4. Click Master date WBS element to choose additional criteria for search.

5. Click one of the fields which you want to change. In this we are taking Applicant No.


6. Click triangle button right below execute button.




7. Enter Applicant No:

8. Click “Enter field values for mass change” button at bottom of the above screen.




9. Click the WBS Elements tab.

Select fields from right hand side list



10. Click to the left of the appropriate field.

11. Click triangle to send the selected field right side as selected field.


12. Click ok.


13. Enter new value Click Ok.



14. Click test button (left to transfer button) to test changes before actually saving them.


If all left side indicator is green means No error. 

15. Click Ok.
 

16. Click Execute.
 

17. Click Ok.
 

18. Click Ok.

Below screen appear for result.
 

19. Click Back.


20. Click yes.


21. Click cancel.


22. Click back until you return to the SAP Easy Access screen.

23. You have completed this transaction.

Result: Using above TCODE you can change a field in several projects simultaneously. You have executed a mass change of WBS element master data. In this example, an Applicant no. was changed on several WBS elements.
